How a pickleball club replaced 15+ hours/week of manual reporting with a self-healing BI platform
Unifying Square, PodPlay, and membership data into a single autonomous dashboard
The Challenge
Zero Zero Two is a fast-growing pickleball club with 500+ members across multiple tiers, a pro shop, café, events programming, and lesson packages. Revenue data was scattered across PodPlay (bookings and memberships), Square (pro shop and café POS), and Tableau (events). Ownership had no unified view of the business.
- Revenue from memberships, flex passes, Dink Dollars (house credits), pro shop, and café lived in completely separate systems with no way to see a consolidated P&L
- End-of-month reconciliation meant hours of manual spreadsheet work matching Square transactions to PodPlay bookings
- No visibility into member engagement patterns — churn was only discovered when someone canceled
- Programming decisions (which clinics to expand, when to add open play) were based on gut feel, not utilization data
- Staff spent 15+ hours per week pulling reports, cross-referencing systems, and building manual summaries for ownership
The Solution
We built a unified business intelligence platform that connects all data sources and runs autonomously — including self-healing capabilities so it requires zero ongoing developer maintenance.
Unified BI Dashboard
A custom Next.js dashboard pulling real-time data from Square (pro shop + café P&L with per-item breakdowns), PodPlay (memberships, court bookings, events, flex passes, Dink Dollar usage, replays, ball machine sessions), and Tableau (event attendance and revenue by source). All on one screen, updated automatically.
Multi-Role Access Control
Role-based access for 15 users across two permission levels. Admins (ownership) see full financial data. Managers see operational metrics and programming data without sensitive financials. Clean, simple, no training required.
Automated Financial Reconciliation
Square transactions are automatically matched to PodPlay bookings. Dink Dollar credits are tracked separately. P&L reports generate by revenue stream — memberships, events, pro shop, café, lessons — with no manual intervention.
Explorer Mode
An ad-hoc query interface that lets managers and ownership ask questions of their data in plain English. 'Which membership tier has the highest court utilization?' 'What's our café revenue trend over the last 6 months?' Answers in seconds, not hours.
Self-Healing Architecture
Built-in health monitoring API, structured error taxonomy with machine-readable remediations, and AI-powered repair workflows. When an API sync fails or data anomaly is detected, the system diagnoses and fixes itself — or escalates with a precise error report. Zero developer maintenance required.
The Results
Within 4 weeks of deployment, Zero Zero Two had complete operational visibility for the first time in the club's history.
- Complete operational visibility achieved in 4 weeks
- All 5 revenue streams unified into single dashboard
- Self-healing system requires zero developer maintenance
“We went from spending entire weekends pulling reports to having everything we need on one screen. For the first time, we can actually see which parts of the business are driving growth.”
